Administrator – General Office
Responsibilities
Responsible for providing administrative support to Vice Principals and the General Office
To provide support such as:
– Providing administrative support for the Vice Principals and General Office
– Liaising with teachers, parents, students and school departments
– Handling customer inquiries and complaints, reporting to management if necessary
– Facilitating the attendance and absence management of students
– Facilitating the sign in process and distribution of resources to external teachers
– Preparing student and teacher materials
– Supporting all school activities and events as and when required
– Assisting with the ordering and procurement processes
– Maintaining accurate records of requisition and sales of items sold through the General Office
– Receiving and recording payments for school activities, stationery, textbooks, etc.
– Facilitating room booking requests for staff and students
– Assisting with logistics relating to travel arrangements for students
– Liaising with third party service providers to secure documentation and finalise agreements
– Providing backup / cover for banking, postage and reception
– Providing backup / cover for the community library and student library
– Answering and directing phone calls
– General collegiate support
– Other duties as directed by the Office Manager
Requirements
Abilities (required):
– Proficiency in MS Word, Excel and Other Microsoft Applications.
– Ability to follow established standards and adhere to policy
– Fluency in oral, written English, Cantonese (desirable)
– Applies competent office administration skills
– Excellent interpersonal / communication skills
– Excellent organisational skills
– Self-initiative and can work independently and under pressure
– Capable of taking up assignments independently
– Reliability; initiative and follow up
– Problem solving skills; flexibility to respond to changing situation
– Project management ability
Knowledge (desirable):
– Applies good understanding of school’s or department’s major functions, work methods and procedures and their interrelation with other department’s responsibilities and activities
– Applies basic knowledge of ESF’s organisation and familiarity with key personnel
– Customer service
Applicants must be a permanent Hong Kong resident or possess a valid visa to work in Hong Kong.
