Clerical Assistant
Responsibilities
Responsible for providing administrative support to the General Office
To provide support such as:
Providing administrative support for the General Office
Liaising with teachers, parents, students and school departments
Answering and directing phone calls and handling customer inquiries
Supporting all school activities and events as and when required
Assisting with the receiving and recording of payments for school activities, stationery, textbooks, etc.
Assisting with the sign in process and distribution of resources to external teachers
Facilitating the distribution of information and materials to students and teachers
Facilitating the daily registration of students
Producing standard letters and certificates
Maintaining filing systems for school houses
Facilitating regular routine tasks in the General Office, such as: postage, banking, room bookings, etc.
Organising and booking cabs and couriers
Ordering supplies for school staff rooms
Updating internal contact lists
Providing backup / cover for the community library and student library
General collegiate support
Other duties as directed by the Office Manager
Requirements
Abilities (required):
Proficiency in MS Word, Excel and Other Microsoft Applications.
Ability to follow established standards and adhere to policy
Fluency in oral, written English, Cantonese (desirable)
Applies competent office administration skills
Excellent interpersonal / communication skills
Excellent organisational skills
Self-initiative and can work independently and under pressure
Capable of taking up assignments independently
Reliability; initiative and follow up
Problem solving skills; flexibility to respond to changing situation
Project management ability
Knowledge (desirable):
Applies good understanding of school’s or department’s major functions, work methods and procedures and their interrelation with other department’s responsibilities and activities
Applies basic knowledge of ESF’s organisation and familiarity with key personnel
