Administrator

To be responsible for providing administrative/clerical support to a specific department, teams, office or school.

Main Accountabilities

  • To provide administrative support for the relevant departments such as:
  • To Maintain files or folders in good order
  • To provide secretarial/administrative support to nonexecutive employees or groups in the

organization

  • To use business software applications (e.g. word processing, presentation and

spreadsheet) to prepare correspondence, reports, presentations, agendas and so long

  • To receive, screen and direct incoming calls, visitors, mail and e-mail
  • To maintain files, records, calendars and diaries
  • To arrange business travel, coordinate meeting arrangements, and/or track expenses
  • To provide detailed appropriate support to pastoral teams/4 areas of the

curriculum/school as negotiated including parent contact, letters, invoicing, filing etc.

  • To assist with events hosted at the school
  • Second to the Functional Line Manager in responsibility in her absence
  • To perform other duties and assumes accountabilities as apparent or as delegated, including mutually agreed upon objectives

Requirements

Abilities

  • Proficiency in MS Word, Excel and Other Microsoft Applications
  • Ability to follow established standards
  • Fluent in oral, written English, Knowledge in Cantonese is desirable
  • Applies competent office administration skills
  • Excellent interpersonal skills
  • Excellent organizational skills
  • Effective communication with teachers, parents and students
  • Capable of working to organizational policies specifically to Procurement policy,

Confidentiality and Data Privacy Policy

  • Good collaboration and teamwork
  • Good communication (with all stakeholders)

  • Able to work independently and under pressure

Knowledge

  • Highly computer literate
  • Basic accounting knowledge
